ALL PROPERTIES WE REPRESENT ARE "NON - SMOKING" BY DEFAULT. IF A LISTING DOESN'T CLEARLY STATE THAT IT IS A PROPERTY WHERE SMOKING IS ALLOWED OR "SMOKING OUTSIDE ONLY IS ALLOWED" THEN IT IS A "NON - SMOKING" PROPERTY. THAT IS ALSO APPLIES TO GUEST OR INVITIES.
 
PET POLICY
THE SAME HOLDS TRUE FOR PETS.  WE DO NOT ALLOW BRINDLE BREEDS EVER IN THE PROPERTIES WE MANAGE AND THAT INCLUDES ANYONE GUEST OR INVITEE BRINGING THEIR DOG INTO ANY PROPERTY WE MANAGE.  IF THE OWNER ACCEPTS YOUR PET IT WILL BE IN THE LEASE AGREEMENT AND ONLY THAT PET IS ALLOWED PERIOD.  IF THE PET HAS A BARKING PROBLEM, IS HAS TO BE STOPPED AS THEIR IS A BARKING ORNDIANCE IN HERNANDO AND PASCO COUNTIES AND YOUR NEIGHBORS HAVE THE RIGHT TO QUIET ENJOYMENT IN THEIR LIVES.  IF THERE IS A BITTING INCIDENT THE PROPER ATTORITIES WILL BE CALLED AND THE OWNER OF THE DOG WILL BE HELD FULLY RESPONSIBLE. IF DAMAGE BEING CAUSED OR THE TENANT DOES NOT OBEY LEASH LAWS OR THE DOG HAS GOTTON LOOSE THE LANDLORD ALWAYS HAS THE RIGHT TO WITHDRAW THEIR CONCENT AND THE PET MUST LEAVE IMMEDIATELY. THAT IS IN THE LEASE AND WILL BE ENFORCED. 

TENANT INFORMATION ABOUT ANNUAL RENTALS
You should know we always represent the Landlord. This means we are working for them and you never pay our commission.
If you are looking for an unfurnished annual rental we will be happy to show you the properties we have that fit your needs personally. If you like the property and wish to rent, we do an Intent To Lease form & an application. The Intent To Lease form outlines exactly what you can expect as far as establishing the monthly rent amount, security deposit and additional specific terms. We do not collect a "LAST MONTH'S RENT"! You will pay first month's rent, the security deposit and application fee! That's it! If there are special risk factors or pets, additional deposits or pet fee may be requested. There is a $35.00 Application Fee for anyone over eighteen or over. We then run a credit report, background and criminal background and sexual offender or predator check for forty eight states, verify employment and all income. Once all the information is collected, we present your information to the owner(s) for either their approval, counter offer, or rejection. The owner, not us, is the deciding party. If your rental offer is not accepted, we promptly return your deposit, allowing time for check clearance, less the Application Fee. Upon acceptance, your deposit is no longer refundable. The property is taken off the market, advertising is stopped and the leases are prepared. We will meet with you at a time and place convenient to you and personally and thoroughly go over the lease prior to you signing it. All funds must be collected and be in US funds prior to move in. Cash, cashiers check or money orders are acceptable if there is not time for a personal check to clear. You will receive phone number listing sheet with all the information you will need to turn on the electric, telephone, cable, trash, water & sewer and change your driver's license. We will provide you with a move in package that includes a welcome letter and mailing labels for your rent payments, as well as information on local entertainment.
We will know each other pretty well by the time we have completed your move in and we hope you will feel free to ask about anything you have questions on. We will always try to help. We sincerely try to keep the relationship with our tenants personal and friendly. We feel that if you have a problem during the term of your lease, we have a problem too. We always encourage our tenants to contact us immediatly with any and all repair needs so that our rental properties are maintained in the best possible condition. We need your co-operation in this and appreciate your willingness to do your part.
 
TENANT INFORMATION ABOUT SEASONAL & SHORT TERM RENTALS
e can do everything through the mail, fax or email if you wish. You can see the pictures of the property on our web site at www.gcrpm.com or we will email them to you or you may see it personally. There is a $35.00 Application Fee for each applicant 18 or over. Security deposits on our seasonal rentals are usually $1000.00 or more; depending on the value of the property, owner and your credit. We will send you a FAR/BAR Lease for the period you wish to occupy with instructions to fill it out and return to us with your rent/deposit funds to confirm your stay. All funds must be U.S. and collected and processed prior to occupancy. Everything you will need for a lovely stay should be at the property. Most utilitiy services in most properties remain in the owners name for your convenience. The rent will normally include: the first $100.00/month of electric, unless otherwise stated, lawn service, pool service if applicable, water, sewer, trash, and basic cable or it will be otherwise indicated in the property description. All properties are supplied with linens, towels, dishes, cookware, flatware, coffee maker, and many additional decorative and convenience items. TENANT PLACEMENT AND PROPERTY MANAGEMENT
We, at Gulf Coast Rentals & Property Management, take being entrusted with the management of your rental property very seriously.
We begin by making the paperwork for Listing your property for rent with us as easy as possible. Our Management Agreement is easy to understand. We do not charge a management fee until and unless your premises are leased. Some companies do!
Once you have signed the Management Agreement and become one of our family of Landlords, our first priority is to locate a qualified tenant as quickly as possible. We begin by entering your property in Multiple Listing Service  with your permission which in turn places your property ion Realtor.com,Homes.com, Zillow, Hot Pads and this website: www.GCRPM.com, Aslo the Verizon Yellow Pages, Craigslist, Post Signs and Riders on your property and there is NO Charge to you!
 We start by calling up a professional post yard sign and advertising your property in The Tampa Bay Times Newspaper and Online on their web site Sptimes.com. It is is visible online from anywhere in the world. We also include your property on our own web site www.GCRPM.com. We have another avenues of advertising as we are Realtors and members of the Pinellas Board of Realtors. This benefit allows them to refer prospects to us for a referral fee - all at no charge to you!  Prospective Tenants may access MLS listings directly by going online to realtor.com and feeds to other online sites. These well known web sites can be search by computer from anywhere in the world. We are also Advertise in The Verizon Yellow Pages, We use only Post Signs, All of this is included as our normal advertising and, of course, is at no charge to the Landlord. We are always willing to place any special advertising you desire, at your expense.
Once our targeted advertising brings us a tenant prospect, we screen them on the phone to find out what type of property they are interested in. This is a crucial step in the process and we feel it is as personal and important as a "match making service". We spend time discussing exactly what the tenants needs are and then try to find the perfect property to meet those needs so the rental or sales experience a positive one for all parties. The list of available properties is narrowed down to the ones of interest to the prospects and we set appointments to personally show the homes. This allows us to assess the prospect closely and screen for conflicting information during the application process. We are interested in things such as, "Why are they moving? Do they have any pets? Are they smokers?" WE DO NOT DISCRIMINATE and request that you do not ask us too. If the prospects already live in the area, we do our best to see their current residence to confirm they are taking care of it properly, as an additional assurance to our Landlord that the tenant will take good care of their new home also. We spend the showing time with the prospects, explaining our policies and expectations of them as tenants, listening and looking for clues as to the level of risk involved in renting to them. When prospects decide they are interested in renting your property, we have them fill out an application and we fill out an Intent To Lease form with them. We run a credit report, at thier expense, verify employment and income, background and criminal background and sexual offender or preditor for forty eight states and then we contact you for your decision. We do not make the decision for you unless it is a full price offer, the rental criteria is met and we are unable to contact you and an immediate decision must be made or the opportunity would be lost. We normally will present all the information to you and give you our best interpretation of the risk involved, letting you make the final decision. We will present all offers and advise you of our informed opinion. Once an offer has been accepted, we have a Real Estate Attorney prepare the lease, as required by law. There is a $45.00 charge to you from the Attorney to prepare the lease. We meet with the tenants and carefully go over the lease, page by page, so they know exactly what is required of them and what will happen if they fail to comply they sign, date and execute the lease and we collect all funds. It is only at this point that we collect our fee for the services we have been providing! We charge one month's rent per one years lease and 10% of the monthy rent per month to manage the property, we never charge the first months management fee and provide you with a Monthly Account Journal showing all activity on the account for each month during the term of the lease. We send detailed statements at the end of the year also with a prepared form 1099 as required by law.
One of the special services we are pleased to offer is a video tape of your property prior to move in of new tenants. We do this mainly for documentation purposes as a free additional management service - for everyone's protection. (Unfortunately, we can not provide this service for unmanaged properties, but we do recommend that it be done if possible.) The video remains our property and is useful if there is a dispute over the condition of the property after the move out or to document specific damage. 

We are responsible for accounting for, maintaining and providing the necessary notices for handling the tenant's security deposit while we manage your home. We serve any rent collection notices or lease violation notices required during the term of the lease at no additional cost to you. Rents are due on the first of the month and late on the fifth, the lease call for a 10% late fee and as we collect it we send the entire late fee to you ASAP. Rents are processed quickly and sent on to you, or deposited in your account upon special request. Any repairs that are called in from the tenants are taken care of and billed to our office to be paid out of the rents. You will recieve the original invoice and a copy will be filed in our records. We do NOT add on any fees, overages or kickbacks for repairs made to your properties. Some companies do. If the cost of any non-emergency repair is over $200.00, we will contact you for authorization first. We do our absolute best to make our management of your rental property one of quiet efficiency so that you do not have to worry about a thing.
When the time comes when you no longer require our services anymore, all we ask is for a thirty day written notice and we reserve the right to do the same. The thirty day written notice is required to have administrative time to handle the turn over of your property in an orderly fashion. We do not charge withdrawal fees or any penalty to a Landlord for terminating our services. We are confident that we can satisfy your management needs and do not want our Landlords to feel that we are trying to lock them into using us. We simply do not have too.
Another unique service we offer is Tenant Placement Only. Perhaps you live close enough to your rental to manage it yourself. The difficult and costly process of obtaining a tenant for you would be our responsiblity and handled in exactly the same way as we service the properties we manage, except that we will need to collect the $45.00 Attorneys fee for their Lease preparation fee. This fee will be returned to you, if not needed. Once we locate a suitable tenant and leases are signed, we collect our commission of one month's rent for a one year lease and turn everything over to you. We do not video the property nor do we maintain the security deposit or notice to enforce the lease in a Tenant Placement Only situation. All noticing required by Florida Statutes will be your responsibility and you will be responsible for the proper and legal handling of the Tenants security deposit. We are normally willing to pick up the management on property during the lease term if you decide you do not want to handle it yourself. Seasonal Furnished Rentals and Out of Season Rentals of one month or greater are at a flat 15% of the monthly rent. We use a FAR/BAR lease so there is no charge for lease preparation unless you wish us to use the lease that is prepared by the attorney, then there is a $45.00 charge. Again we video the property as stated above. We provide you with the same journals & statement as listed above. Unlike the Annual agreement and because we do not charge a placement fee, we do require payment for the entire period of the seasonal lease even if you no longer wish us to manage your unit. We still don't charge anything unless your property is rented. We do discount our management fees for multiple property owners.
